Owner reporting should explain what happened, why it happened, and what requires a decision. A useful monthly package may include rent collected, delinquency, income and expenses, cash balance, unpaid bills, work orders, vacancy, leasing activity, lease expirations, deposits, and material tenant communication.

The report should separate routine operations from exceptions. Owners need early notice of major repairs, insurance issues, compliance matters, tenant defaults, capital needs, and market changes. Supporting invoices, photos, proposals, and notes should be organized so the owner can review the record without reconstructing events.

A forward calendar is equally important. Renewal windows, inspections, certifications, tax and insurance dates, vendor agreements, rent adjustments, and planned projects should be visible before they become urgent.
